Sutter Health HIM Lead- MPHS, Santa Cruz, Menlo Park in Burlingame, California

Description

Manages all local HIM operations and acts as first point of contact for administrative, medical staff, and local regulatory issues. Responsible to oversee the implementation of policies and procedures set by HIM Shared Services operations. This position is also responsible to act as liaison between the local hospital administration and HIM operations at Shared Services.

Oversees staff training, coaching, and support; issue identification, assessment, and resolution; and technical support in order to achieve desired outcomes and compliance with Sutter Health policies/procedures and standards.

Oversees and performs quality reviews and analysis to support internal controls, monitoring employee performance, and assisting with staff development, retention and selection.

Supports the success of a high-performing shared services organization by helping to champion and drive the long-term Sutter Shared Services vision. Helps foster an environment in which continuous improvement in business processes and services is welcomed and recognized. Participates in programs and in using tools in support of building a high performance culture via the standard Sutter Shared Services responsibilities (e.g. performance measurement, people development, customer relationship management, etc.).

Assignment Specific Responsibilities

• Supports development of annual operating budget

• Oversees local operations managed by support team and/or team members

• Assures adequate and proper staffing of all operations of the department to maintain optimum staff productivity, accuracy, efficiency and on-going staff training for existing and new employees

• Develops team work schedules to ensure cost effective staffing that meets customer requirements

• Provides function-specific training, including staff orientation, continuing education, and job aides to assist the staff in performing work assignments

• Mentors and coaches local Document Imaging and Release of Information staff to ensure positive outcomes; provides input on staff employees’ performance

• Provides oversight of assigned processes and systems to improve service, data integrity, and staff productivity/quality to achieve departmental goals and process outcomes

• Works closely with local departments to ensure optimal document imaging workflows.Utilizes outcomes of quality reviews to enhance compliance with standard work.

• Functions as project leader or participant as required, coordinating efforts among team members Analyzes and displays data in meaningful formats; develops and communicates Policies/Procedures and other business documentation; Conducts special studies and prepares management reports

• Ensures open communication betweenHIM Operations Lead regarding assigned hospital’s Client Location Operations day to day operations and strategic direction

Management

• Champions and drives the implementation of programs, policies, initiatives, and tools specific to the Shared Services Organizational process owned by HIM Operations across the Shared Services Organization

• Ensures delivery of business results by meeting or exceeding all contractual service level agreements at local affiliate level

Qualifications

Education, Licensures and Certifications:

  • Associate's Degree required or equivalent experience

  • Bachelor's Degree preferred

  • Registered Health Information Technician - RHIT (RHIT certification required within 3 years, program started within 6 months) required

  • Registered Health Information Administrator - RHIA upon hire preferred

Experience:

  • 3-5 years demonstrated experience and a proven track record in Document Imaging or Release of Information, hospital business operations, information systems, and applications. Experience participating in Document Imaging or Release of Information standards, processes, policies, procedures and/or service level agreements required

  • Demonstrated experience supervising staff required

  • Demonstrated teaching, training, and/or project management experience required

  • Experience in complex regional/ shared service environment with multiple/ matrix reporting relationships preferred

Skills and Knowledge:

  • Advanced in-depth knowledge of medical terminology

  • Advanced in-depth knowledge/ awareness of all areas related to HIM Operations and how they interrelate

  • Knowledge of principles, methods, and techniques related to Document Imaging and Release of Information

  • Knowledge of Electronic Health Records system applications, preferably Epic

  • Strong customer service skills, including all levels of clinical staff

  • Ability to organize, develop, and manage projects

  • Ability to mentor and support staff transitioning to higher skill levels based on measured quality and productivity standards

  • Ability to manage staff and resolve issues at all applicable locations

  • Ability manage complex staff schedules and coverage for document imaging and release of information working across multiple environments

  • Demonstrated leadership skills and the ability to provide constructive feedback to team members to support continuous improvement

  • Ability to manage own schedule and responsibilities across multiple locations. Must have initiative to work effectively without constant supervision and direction, meeting all deadlines

  • Ability to comprehend and retain information that can be applied to work procedures to achieve appropriate service delivery

  • Requires strong accuracy, attentiveness to detail and time management skills

  • Aptitude to conceptualize, plan, and implement stated goals and objectives

  • Ability to identify, analyze, prioritize, resolve and / or escalate complex problems promptly

  • Ability to learn new applications/software systems effectively and efficiently
